Free estimate template
An estimate (or quote) tells a client what the work should cost before they commit. This template works for quotes, proposals and bids — same sheet, different title.
To produce one: open the generator, put “ESTIMATE” intent in the notes or use an EST-001 number prefix, list the proposed work with quantities and rates, and set a validity window (“quote valid 30 days”). When the client accepts, change the number to an invoice number and the date fields to the billing date.
What makes a good estimate
- Scope in words, not vibes. One or two sentences per line item describing exactly what's included.
- Exclusions stated. “Does not include paint or drywall repair” saves the argument later.
- A validity date. Material prices move; 30 days is the norm for trades, 60–90 for consulting.
- Assumptions. If the price assumes normal working hours or existing utilities, say so.
- Option lines. For choices (standard vs premium finish), list them as separate optional rows.
Estimate → invoice workflow
Keep the estimate number in the invoice notes (for example “per EST-2026-014”), so the client's accounts-payable team can match them. Any scope that changed after the estimate should appear as its own line referencing the approved change — never silently folded into the original price.
